1. Dealing with personal data

The website at www.indiavisajapan.com is an offer of service from IVS Global Japan. On its website pages, IVS Global Japan informs customers and interested parties about the requirements for applying for a visa for India.

The protection of the Applicant’s personal data when it is collected, processed and used during their visit to the website pages of IVS Global Japan is an important priority for us. The below section details what information IVS Global Japan collects during the Applicant or concerned party’s visit to the website, and how that information is further used by IVS Global Japan:

2. Data processing in connection with queries

The data such as emails address, name and other details provided by the Applicant/concerned party has given will be saved in a file or in an email program and only used for the correspondence concerning the requested information.

3. Data processing in connection with visa applications

In accordance with the requirements specified by the Indian Embassy in Tokyo, applying for a visa requires the mandatory filing of an online application through the website https://indianvisaonline.gov.in/visa/, with subsequent submission of the hard copy application documents. In the framework of the visa application process, therefore, the Applicant will be forwarded by IVS Global Japan to the Indian government's above-mentioned online application website.

Please note that the data entered and saved there is processed by the Indian government for the granting of the visa, and that IVS Global Japan has no influence on the data processing by the Indian government and is not responsible for that data processing by the Indian government.

Insofar as in the framework of the visa application IVS Global Japan collects, saves or uses personal data itself, this is only done insofar as is necessary for the processing of the visa application and for the rendering of our other services and the performance of contractual obligations entered into with the Embassy/Consulate. Accordingly, data is only passed on to third parties insofar as IVS Global Japan's service partners (e.g. SMS provider and courier services) or to the Indian Embassy or respective Consulate, if it requires the data to process the application. In such cases, however, the scope of the data transmitted is limited to the necessary minimum; in the case of the Indian Embassy or Consulate, therefore, in particular to the data already asked for on its website (https://indianvisaonline.gov.in/visa/) as well as the documents and papers (passports, etc.) additionally made available by the Applicant.

Otherwise, passing the Applicant’s personal data on to third parties, selling it to third parties or transmitting it to third parties in another way is excluded, unless IVS Global Japan is obliged by law or by a court decision to pass the data on, or if passing the data on is necessary for the pursuit of claims and criminal-law prosecution in the event of attacks on IVS Global Japan's IT infrastructure.

4. Cookies

When the user visit IVS Global Japan's website, information is occasionally deposited on the user’s computer and saved in the form of cookies (small text files). This serves to make the IVS Global Japan website user-friendly, flexible and effective for the user. Cookies are not used by IVS Global Japan to save passwords. Deletion of the personal data takes place when the Applicant declares to IVS Global Japan that he/she has revoked their consent to storage, when knowledge of that data is no longer required for fulfillment of the purpose pursued with the storage, or if storage of the data is impermissible for other legal reasons. Upon written request, IVS Global Japan would be pleased to inform the Applicant what data we have saved about the Applicant (e.g. name, address, telephone number). 6. Security information

IVS Global Japan endeavours to take all of the necessary technical and organisational security measures to save the Applicant’s personal data in such a way that it is not accessible to third parties or the public. Should the Applicant or concerned party wish to contact us by email, please be aware that the confidentiality of information transmitted is not guaranteed. The applicant should be aware that the contents of the email may be viewed by third parties and International Visa Services will not be responsible for any confidential information that may be divulged accordingly.

IVS Global Japan's website offer contains links to other websites. We have no influence on the operators of those websites complying with the data protection provisions.
